Using the Payroll Summary Report

Who can use this feature?

Available with Payroll plan
The Payroll Summary report shows everything your company paid through Eddy Payroll during a date range you choose. It totals earnings, deductions, employee taxes, net pay, and employer costs for the whole company, then breaks each of those down by employee and by earning, deduction, or tax type.
Use it when you need payroll totals for a specific period, such as gross wages for a quarter, total employer tax liability for the year, or what was withheld for a benefit plan. You can view the report on screen, print it, or download it as a CSV.

Before You Begin

  • Access: The report is available to users with the Payroll Admin, Accountant, or Benefit Admin role. A lock icon next to the report title lists who can see it.
  • Date range: The report includes payrolls with a pay date between the start and end dates you choose. It uses the pay date, not the pay period. A payroll for work done in late December but paid in January falls in January.
  • Workers included: The on-screen report shows employees only. The CSV export also includes contractors, so you can see all payments in one file.

Run the Payroll Summary Report

  1. Select Reports in the left navigation.
  2. Select the Payroll folder, then select Payroll summary.
  3. Enter a Start date and End date for the period you want to review.
  4. (Optional) Narrow the results with the filters below. Each one defaults to all.
    • Location
    • Department
    • Divisions
    • Worker Classification The Location filter shows only earnings for work performed at the selected location. If an employee worked at more than one location, the report includes only the earnings from the location you selected.
  5. Select Run report.
  6. Review the results. You can also:
    • Select Print to print the report.
    • Select Download CSV to export it to a spreadsheet.
    • Select Hide Filter to collapse the filter panel and widen the report.

Understand the Report

Summary totals
The top of the report shows company-wide totals for the date range.
  • Total Earnings (All earnings paid to employees, including reimbursements)
  • Total Deductions (All employee deductions, such as benefit contributions, retirement contributions, and garnishments)
  • Employee Taxes (Taxes withheld from employees' pay)
  • Net Pay (The total amount employees received)
  • # Employees Paid (The number of employees who received at least one paycheck)
  • # Checks Issued (The number of paychecks issued)
Employee sections
Below the totals, the report lists each employee. The header for each employee shows their name, the last four digits of their SSN, their location, their department, their worker classification, and their division. The Employee ID (EID) appears on the first line of the employee's table.
Each employee's section has five column groups. The bold first row of each group shows that employee's total for the period.
  • Hours and Earnings: Each earning type with hours, rate, and amount. When an earning was paid at a specific work location, the location appears in parentheses, for example "Overtime (Headquarters)." Earnings marked with an asterisk (*), such as "Phone Reimbursement *," are reimbursements and are not taxable wages.
  • Deductions: Each deduction the employee paid, such as medical, dental, 401(k), or FSA contributions.
  • Employee Taxes: Each tax withheld from the employee, such as federal income tax, Social Security, Medicare, and state income tax.
  • Net Pay: The employee's take-home pay for the period.
  • Employer Liability: What the company paid on the employee's behalf, including employer taxes (such as employer Social Security, Medicare, and unemployment taxes) and employer benefit contributions.

Find Total Gross Wages for a Period

Gross wages are the total earnings paid to employees before taxes and deductions. Because Total Earnings on the report includes reimbursements, it is higher than gross wages whenever reimbursements were paid. The most reliable way to get gross wages is from the CSV export.
  1. Run the report for the period you need, such as a quarter or calendar year. Because the report filters by pay date, the result is gross wages paid during that period. Apply filters if you need gross wages for a specific department or division, or for work performed at a specific location.
  2. Select Download CSV and open the file in a spreadsheet application.
  3. Remove any rows where Employment Type is "Contractor," and remove the final totals row at the bottom of the file, which has no name.
  4. Add up the Gross Total column. The result is total gross wages for employees in the period.
To check a single employee on screen, subtract any earnings marked with an asterisk (*) from the employee's Hours and Earnings total. For example, an employee with $85,576.14 in total earnings and $2,625.04 in reimbursements has $82,951.10 in gross wages.
Keep in mind
  • Gross wages include all taxable earnings: regular and overtime pay, salary, paid time off, bonuses, commissions, and imputed income (non-cash compensation such as store credit).
  • Gross wages are not the same as taxable wages. Pre-tax deductions, such as traditional 401(k) and pre-tax medical contributions, reduce the wages subject to some taxes.

Use the CSV Export

The CSV has one row per worker and one column for every earning, tax, deduction, and employer contribution paid during the period. Columns you'll use most often:
  • Employment Type: "Employee" or "Contractor."
  • Gross Total: Total earnings, not including reimbursements.
  • Net Pay: Total take-home pay.
  • Reimbursements: Total reimbursements paid.
  • Earning columns: Each earning type has an amount column ("Amt") and, for hour-based earnings, an hours column ("Hrs"). Earnings paid at different work locations get separate columns.
  • Tax and benefit columns: Labeled "(EE)" for amounts paid by the employee and "(ER)" for amounts paid by the employer.
The last row of the file is a totals row for every column. Because it includes contractors, its totals can differ from the on-screen summary.

FAQ

Why doesn't Total Earnings match my gross wages? Total Earnings includes reimbursements, which are not wages. Follow the steps in Find Total Gross Wages for a Period to calculate gross wages.
Why don't the CSV totals match the on-screen totals? The CSV includes contractor payments, and the on-screen report does not. Remove contractor rows from the CSV before comparing.
Why aren't contractors listed on screen? The on-screen report covers employees only. To see contractor payments, download the CSV and look for rows where Employment Type is "Contractor."
Why do some earnings have a location in parentheses? The location shows where the work was performed. An employee who worked at more than one location will have a separate line for each location.
Can I run the report for one employee? The report doesn't have an employee filter. Download the CSV and find the employee's row, or scroll to their section on screen.
